Hire Xero Expert — clean books across currencies and apps

Xero earned its following by being the accountant’s favorite cloud ledger: beautiful bank reconciliation, genuine multi-currency, and an app ecosystem of 1,000+ integrations. But out of the box it’s still just a ledger — the value comes from architecture: tracking categories that mirror your business, bank rules that auto-code correctly, FX handled properly, and every app in your stack posting to the right place. A Xero expert builds that layer, so Xero becomes your financial source of truth instead of another login.

A structured engagement with no surprises — you’ll always know what’s happening and what’s next.

Why Omer

Why hire a Xero expert through a Fractional CTO

Xero’s power is its ecosystem, and ecosystems need architecture: every integration is a data contract, every tracking category a reporting decision. I design that layer like the systems engineer I am, so your finance stack scales instead of tangling.

FAQ

Frequently asked questions

Xero vs QuickBooks — which is right for us?

Xero usually wins for multi-currency, multi-entity, and accountant collaboration outside the US. QuickBooks wins for US-centric businesses deep in its payroll ecosystem. We pick from your footprint.

Can Xero handle multiple entities?

Yes — with one organization per entity and consolidated reporting on top. We design the entity structure and intercompany handling properly from day one.

How do the 1,000+ integrations actually work?

Through Xero’s API and app marketplace. The skill is choosing the right apps and mapping their data correctly — a bad mapping silently corrupts your books, which is why architecture matters.

Will our accountant like Xero?

Almost certainly — accountants consistently rate Xero’s collaboration and audit trail highly. We set up advisor access as part of the build.

How long does implementation take?

Two to four weeks for a typical multi-entity setup including integrations and migration. Clean data in, clean books out.

After the setup

Why people hire a Xero expert after Xero is already live, not before

By the time most people decide to hire a Xero expert, the file is already live and something no longer ties. The bank feed reconciles a reassuring green, yet the profit and loss doesn't match the VAT return and nobody trusts the numbers. Reconciled in Xero only means a transaction was matched to a statement line, not that it was coded correctly, so I start by separating the two. I pull a full account transactions export, isolate the systematic errors, and fix them in bulk with Find and Recode rather than editing thousands of lines by hand. Then I set lock dates so closed periods stop drifting, and I rewrite the bank rules that were quietly posting to the wrong accounts in the first place.

Xero is opinionated software, and the costly mistakes come from fighting its constraints rather than designing around them. You get exactly two active tracking categories, so I decide early which two dimensions - say department and location - earn that slot, and push everything else into the chart of accounts or a job-costing tool like Xero Projects. Base currency is locked at the moment of setup and can never be changed, a trap that has forced more than one business to rebuild from scratch. Conversion date and conversion balances must be exact, or every opening figure is wrong forever. These are one-way doors. A real Xero expert gets them right before the first invoice is raised, because unwinding them later is expensive and sometimes impossible.

Where I differ from a good bookkeeper is the engineering underneath. When an off-the-shelf connector can't model your workflow - a bespoke booking platform, a marketplace with split payouts, a billing system Xero has no app for - I build directly against the Xero API. That means OAuth 2.0 with proper token refresh, respecting the rate limit of sixty calls a minute so a backfill doesn't get throttled, and webhooks for near real-time updates instead of brittle polling. I make every sync idempotent, so a retry never double-posts an invoice, and I add a reconciliation layer that flags anything drifting between the source system and the ledger. This is the difference between an integration that holds up at volume and one that silently loses revenue.

What good looks like is almost boring, and that is the point. Every clearing and suspense account reconciles to zero at month-end, not just the bank feed. Document capture through Hubdoc means bills arrive pre-coded and attached, so there is an audit trail behind every figure. The fixed asset register runs depreciation automatically instead of living in a forgotten spreadsheet. Accruals and prepayments post through repeating manual journals that reverse themselves. The mistakes I fix most often are the quiet ones: a suspense account used as a dumping ground, manual journals standing in for transactions that should flow through sales or bills, VAT coded to the wrong rate for months, and personal spending left sitting in the profit and loss. Remove those, and the numbers are finally safe to decide on.

Questions buyers ask

How do you price a Xero project, and is it fixed or hourly?

For a defined build or clean-up with a clear scope, I quote a fixed price after a short audit, so you know the cost upfront with no running meter. For ongoing architecture, integration work, or a fractional advisory role, I work on a day rate or monthly retainer. I scope before I quote because the honest range for hiring a Xero expert depends entirely on the state of your file, your entity structure, and how much custom integration is involved.

Can you fix my existing Xero file, or do you always start from scratch?

Most of the time I fix what you have. A rebuild is a last resort, usually only forced when the base currency is wrong, since that genuinely cannot be changed. Otherwise I remediate in place: bulk-recode the errors with Find and Recode, reconcile the control accounts, set lock dates, and correct the structure around your live data. Starting fresh throws away your history and audit trail, so I avoid it unless it is honestly the cheaper path.

Can you build a custom integration between Xero and my own software?

Yes, and that is a core reason to hire a Xero expert with an engineering background rather than a bookkeeper. I build directly against the Xero API using OAuth 2.0, handle token refresh and rate limits, and use webhooks for near real-time sync. Every integration is idempotent so retries never double-post, with a reconciliation check that flags drift between your system and the ledger. If an off-the-shelf connector already exists and fits, I will tell you to use that instead and save the budget.

Do you handle VAT and GST returns, including UAE FTA and UK Making Tax Digital?

I set Xero up so the returns are correct by design: the right tax rates on the chart of accounts, correct treatment for zero-rated and exempt items, and the FTA or MTD filing connected properly. I configure and validate the VAT return and train your team to run it. For the formal submission and the tax advice itself, I work alongside your accountant or registered tax agent rather than replacing them.

Do you replace my accountant or work with them?

I work with them, not instead of them. I am a solutions architect, not your tax agent or auditor. My role is the system itself - structure, integrations, data quality, and reporting - so your accountant receives a clean file and spends their time on advice instead of untangling coding. I am happy to agree the approach with them upfront and match the handover to how they actually work, including firms running Xero HQ.

Do you train my team and offer support after the project?

Yes. A handover nobody understands is a failure, so I train the people who use Xero day to day - how to code, reconcile, chase approvals, and run the month-end close without me. I document the routines in plain language. After that you can take it fully in-house, or keep me on a light retainer for new integrations, quarter-end reviews, and the occasional awkward transaction. Most clients start with support and taper it off as the team gains confidence.
