Hire Smartsheet Expert — Smartsheet that runs programs, not spreadsheets

Smartsheet sits in a unique spot: spreadsheet-familiar for executives, powerful enough for real program management — and a mess when nobody architects it. Formulas that break on every row insert, update requests nobody configured, dashboards built on ranges that shifted months ago. A Smartsheet expert builds it like a system: sheet architecture with linked cells and reports, automation that replaces status-chasing, and dashboards leadership can trust.

What You Get

Program management on a solid Smartsheet foundation

How It Works

From fragile sheets to program system

A structured engagement with no surprises — you’ll always know what’s happening and what’s next.

Why Omer

Why hire a Smartsheet expert through a Fractional CTO

Smartsheet engagements fail when built by formula wizards who never ask what the program needs to decide. I design from the decisions upward — what leadership must see weekly — then engineer the sheets to produce it reliably.

You get architecture, automation, and governance from one accountable person. To scope your Smartsheet build or cleanup, get in touch with your sheet count and use case.

FAQ

Frequently asked questions

Smartsheet vs Monday vs Asana — which fits us?

Smartsheet wins for formula-heavy program tracking and spreadsheet-comfortable stakeholders; Monday wins for visual team workflows; Asana for simpler task management. The choice follows your reporting needs and team habits.

Can Smartsheet handle a multi-project portfolio?

Yes — that is its strength. Cross-sheet formulas, reports, and dashboards roll up dozens of project sheets into portfolio views, especially with Control Center standardizing provisioning.

What breaks most often in Smartsheet?

Fragile VLOOKUP-style references, automations firing on the wrong triggers, and dashboards built on static ranges. The rebuild replaces all three with robust patterns and documentation.

Does Smartsheet integrate with our other tools?

Via native connectors, Zapier/Make, and the API — Jira, Salesforce, Teams, and accounting tools all connect. We design the sync direction and conflict rules so data stays consistent.

How long does a Smartsheet implementation take?

A focused program tracker takes two to three weeks; a portfolio system with Control Center and governance typically runs six to eight weeks including training.

Under the hood

Why hiring a Smartsheet expert is really hiring architecture decisions

When you hire a Smartsheet expert, what you are really buying is architecture decisions you will not have to unpick in a year. I do not open the formula bar first. I map the programme the sheets are meant to run, decide where the single source of truth lives, and settle the column types, hierarchy and naming conventions before a single automation fires. Fifteen years and a hundred-plus delivered projects have taught me that most Smartsheet pain is structural, not cosmetic. Get the row model, parent-child rollups and reference strategy right at the start, and everything downstream - reports, dashboards, integrations - becomes cheap to change rather than a rebuild.

The engine room is the data layer. I replace brittle VLOOKUP chains with INDEX/MATCH, and where lookups span many sheets I use DataMesh so values are written into rows rather than recalculated live and fragile. I lean on COLLECT, SUMIFS, COUNTIFS and JOIN(COLLECT) for clean rollups, and I respect the real ceilings - 20,000 rows and 500,000 cells per sheet, a hundred cross-sheet references per sheet - because designs that ignore them crawl or break at scale. Where source data lives in Excel, CSV exports or Box, I use Data Shuttle to load and offload on a schedule, so nobody is copy-pasting into a production sheet by hand.

Automation should remove work, not create a noisy inbox. I build triggers and conditions deliberately - change-based where it must be instant, time-based for reminders, recurring for cadence - with approval and update-request flows that collect status without a single chase email. For anything beyond native automation I use Bridge for webhook-driven logic and multi-step orchestration. At portfolio scale, Control Center blueprints provision consistent projects and push global updates across them, Dynamic View exposes role-scoped slices to external stakeholders without extra licences, and Resource Management handles capacity. Good looks like this: a new project spun up in minutes to a standard, and a dashboard leadership opens on Monday and believes.

The mistakes I most often fix are quiet ones. Manual values typed over parent rollup formulas, so totals silently drift. One giant sheet pushed past its row limit until it lags. Modified-date columns buried inside formulas, forcing endless recalculation. Cross-sheet references multiplied until the sheet hits its cap, and orphaned cell links pointing at rows deleted months ago. I also fix permission sprawl - a dozen people holding admin rights with no groups behind it. So the handover is deliberate: documented formulas, a naming and provisioning standard, and the admin training to keep the system clean after I step back, rather than a clever build only I can maintain.

Questions buyers ask

How much does it cost to hire a Smartsheet expert?

It depends on scope, not seat count. A focused fix or a single programme tracker is usually a fixed-price engagement; an ongoing portfolio build runs as a fractional retainer with a set number of days each month. I scope the work before quoting, so you pay for a defined outcome rather than open-ended hours. For most teams the cost to hire a Smartsheet expert is recovered quickly in the status-chasing and rework it removes.

Will you rebuild from scratch, or improve what we already have?

Usually a bit of both, and I decide after an audit. If the structure is sound I strengthen the weak joints - references, automations, dashboards - and keep your history and muscle memory intact. If the foundation cannot scale, I rebuild the core and migrate the data in rather than keep patching. I will tell you honestly which it is; I do not rebuild for the sake of billing.

Do we need premium add-ons like Control Center, or can you work on a standard plan?

Most teams need far less than they are sold. A great deal is achievable on a standard plan with disciplined sheet design, reports and native automation. I recommend Control Center only when you are provisioning many similar projects and need governed rollups, DataMesh when lookups span many sheets, and Bridge when logic outgrows native automation. I will tell you where an add-on earns its licence fee and where it does not.

Can you give clients or contractors a view without buying them full licences?

Yes. I use Dynamic View and WorkApps to expose a role-scoped slice of a sheet, so people see and edit only their own rows, with no access to the underlying structure and without a licence each. For inbound requests I use validated forms. This is how you let external stakeholders in safely, and it is one of the first things I set up when a build has to reach beyond the core team.

Our sheets have become slow and huge - can you fix the performance?

Yes, and it is a common reason people hire a Smartsheet expert. Slowness usually means a sheet is near its 20,000-row or 500,000-cell ceiling, or is carrying heavy live cross-sheet formulas. I split or archive data into reference sheets, move lookups to DataMesh so values are stored rather than recalculated, and prune orphaned cell links. The result is a workspace that stays responsive as it grows instead of degrading.

You are based in Dubai - can you work with our team remotely across time zones?

Yes. I work remotely with teams across the UAE, US, UK, Canada, Pakistan and Malaysia, and the Dubai time zone overlaps a normal working day in most of them. Smartsheet work is naturally asynchronous - I build and document, you review in your own hours - and I hold focused live sessions for audits, design sign-off and training. Distance has never been the constraint on these engagements.
